đźš— Transport & Carpooling

For our out-of-town trips and select semi-local hikes, we run a coordinated carpooling system using private member vehicles. To ensure a smooth, stress-free departure on the morning of the hike, all vehicles and travel expenses are calculated and pre-arranged in advance by the trip coordinator based on registrations.

To keep our journeys safe and reliable, all volunteer carpool drivers are experienced group regulars who have held a full New Zealand driver's licence for at least three years.

Choosing to Self-Drive?You are more than welcome to drive your own vehicle to the track if you prefer. If you choose to self-drive, we warmly invite a voluntary per-person donation to our group Safety Gear Fund (the specific amount is noted on each trip's advertisement). Because we are a free community walking group and not a formal club, we have no annual membership fees. This entirely optional donation is what allows us to buy, maintain, and replace vital group safety gear—such as our Personal Locator Beacon (PLB), specialized group gear boxes, and comprehensive first aid kits—carried on every single trip for everyone's peace of mind. (Note: This donation is entirely optional, and self-drivers are always welcome to join our hikes regardless).

đź’° Transport Cost Breakdown

To ensure our volunteer drivers are never left out of pocket, passengers make a standardized contribution to cover trip travel expenses.

  • How it's calculated: Our transport contributions are determined using a precise tracking model. We average current regional pump prices against the real-world fuel consumption profiles of our group's vehicles. To ensure fairness to the vehicle owners, this includes a calculated maintenance buffer based on how frequently the car is volunteered for group use, alongside a tiered Safety Gear Fund contribution.
  • Standard Passenger Tiers:
    • Adult Passenger: Standard travel reimbursement + trip safety donation.
    • Youth (16 & Under): Subsidized youth travel reimbursement + trip safety donation.
  • Price Stability & Guarantees: Travel costs are locked in once the trip announcement is officially published for the week. If a vehicle is not completely full on the day, our Safety Gear Fund dynamically steps in to cover the financial shortfall so that the driver is still fully reimbursed and the trip always goes ahead as advertised. (Note: The only exception is a sudden, extreme fuel price shock of +20c or more per litre during the week, which may require a minor cost-of-travel adjustment).
  • How to pay: Contributions are pooled into our dedicated group account to handle pre-paid travel disbursements. You can settle this via bank transfer prior to the trip weekend, or in cash to the event leader before the vehicles depart Whanganui.
